USC app privacy policy
This explains what the USC app keeps about you, why, who helps us run it, and what we never do with it. The short version: we use your information to coach you and run your bookings. We don't sell it, we don't show you ads, and we don't track you across other apps or websites.
Who we are
Universal Strength and Conditioning Pty Ltd ("USC", "we") runs strength and conditioning classes, personal training, exercise physiology and rehab at 200 Settlement Road, The Gap, Queensland.
This policy covers the USC app, including the version on your phone's home screen and any version in the App Store or Google Play. Your membership, plan and payments for your plan are handled through our Wix booking site, which has its own privacy terms.
What we keep
- Your account: your name, email and phone number, and your USC plan, all as held in our Wix booking system.
- Your bookings: the classes and sessions you book, cancel and attend.
- Your training: the sets, weights, reps, times and notes you or your coach record, your programmes, how hard a session felt, and your personal bests. This includes history we brought across from our previous training app, Trainerize.
- Health information: injuries, rehab notes and exercise physiology programmes, but only when you train with us one to one or tell us something so we can coach you safely. This includes notes from Mitch, the physiotherapist who works with us, when you agree to him sharing them (see Health information below).
- Messages: what you and our coaches send each other in the app. So we don't miss anyone, the app also records when a message reached your phone, when you opened it, and when you started writing a reply. It never records what you typed until you send it. If a coach's message is still unread after 30 minutes and no notification reached your phone, we email it to you, and if you reply to that email, your reply goes into the chat in the app. When our notifications can't reach your phone, we also email you the day before a booking, and we always email you if we cancel a class you're booked in. You can turn off the message and reminder emails under More, Notifications.
- Notifications: your notification choices and the address your phone's notification service gives us to reach you.
- App use: when you last opened the app and which version you're on. Nothing about what you do in other apps.
- Payments in the app: if you buy a casual class, Stripe takes the payment. We see the amount, whether it went through and a receipt link. Your card details go to Stripe and never reach us.
- Apple Health, if you connect it: on iPhone you can link Apple Health so the workouts your watch saves show in the app. We read your workouts and, for each one, its type, times, distance, energy burned and heart rate. We only read; we never write to Apple Health. It is kept with your training record, seen by you and our coaches for coaching you, and never used for advertising or marketing or shared with anyone else.
What we never do
- We don't sell or rent your information to anyone.
- We don't show ads in the app or use your information for anyone else's advertising.
- We don't track you across other apps or websites, and the app contains no advertising or analytics tracking tools.
- We don't use your health information for anything except coaching you.
Why we use it
- To run your bookings, reminders and your place in class.
- To coach you: your programme, what you lifted last time, your progress and what to do next.
- To keep you safe when you train with an injury or on a rehab plan.
- To stay in touch: messages, reminders, class changes and announcements.
- To notice when someone has drifted away, so a coach can check in.
- To keep the app working and fix problems.
Who helps us run it
A few services do parts of the work for us. They only get what their job needs:
- Wix: our booking system, membership plans and plan payments.
- Cloudflare: hosts the app and its database. Our database is kept in Cloudflare's Oceania region.
- Stripe: takes payments for casual classes bought in the app.
- Apple and Google: deliver notifications to your phone.
- Google Workspace: our coaches' programming documents, such as the Run Club programme, and a monthly backup copy of the app.
- Zoho Bigin: our member records system, which holds your contact details and some coaches' notes while we move them into the app. It is kept in Zoho's Australian data centre.
- Anthropic (Claude): an AI service that reads coaches' and clinicians' notes to help us draft programmes, summaries and follow-ups. A coach checks what it drafts before anything changes for you. Anthropic processes this in the United States, and under its terms it does not use your information to train its models.
- Zoom: booking and running telehealth sessions with Mitch.
Some of these companies may store or process information outside Australia, including in the United States. We choose services that protect it to a standard comparable to Australian privacy law.
Health information
Because we provide exercise physiology and rehab, some of what we hold is health information, which Australian privacy law treats with extra care. We only record it with your knowledge, only our coaches and clinicians see it, and it's used only to coach and care for you. If you'd rather something wasn't recorded, tell your coach.
Who sees your notes. Notes about your training and health, including what you tell a coach in class, are seen by all USC coaches, so whoever is coaching you that day can look after you safely. If you'd rather something wasn't shared between coaches, tell any coach or email us.
Mitch and MEO Rehab & Performance. Mitch Scott is a physiotherapist who runs his own practice, MEO Rehab & Performance, at our address. Each time you book with him in the app, we ask whether he may share his notes and your plan with our coaches. If you say yes, his notes are kept in the USC app with your training. If you say no, you can still book: he gives us a short summary only and keeps his full notes in his own records. MEO Rehab & Performance keeps its own records under its own privacy policy. Face-to-face bookings with Mitch are made in his booking system, Cliniko, and telehealth bookings in Zoom. The USC app records that you booked and when.
Your choices
- Notifications: turn reminders and messages on or off under More, Notifications. Messages about a class we've cancelled always come through.
- See or correct what we hold: message us in the app or email us, and we'll respond within 30 days.
- Apple Health: disconnect it at any time under More, Apple Health. That deletes every workout it brought in. You can also stop the app reading it in your iPhone's Health app, under Sharing, Apps.
- Delete your account: use More, Account, Delete my account. This removes your app data: your training records, notes, messages and settings. It doesn't cancel or pause your USC plan. The app tells you if you have an active plan and how to pause or cancel it with us.
- A copy of your data: ask us and we'll send your training history.
How long we keep it
We keep your training history while you're a member, because it's what lets us coach you well over years. If you delete your account, your app data is removed. Records we're required to keep by law, such as clinical notes from exercise physiology or physiotherapy, payment records and tax records, are kept for as long as the law requires, then destroyed. For clinical notes that is at least seven years after your last visit, or until you turn 25 if you were under 18 when we saw you.
We also keep backups of the app: a weekly copy and a monthly copy, each kept for up to about three months, so information removed from the app is gone from every backup within about three months.
Keeping it safe
Your information is sent over encrypted connections and stored with access limited to USC coaches and staff who need it. Sign-in happens through our Wix booking system, so we never see or store your password. Backups of the app are encrypted and stored in Cloudflare's Oceania region, with a monthly copy in USC's Google Workspace.
Young people
If you're under 18, a parent or guardian needs to agree to you using the app. For our youth programs, we deal with a parent or guardian about your information.
